E-Commerce Operations Support

Your store, run daily: listings, orders, returns and reviews — handled, with a daily handover.

A store that is set up is not a store that is run. The work never stops: new listings, price and stock updates, orders to fulfill, returns to process, reviews to answer, platforms to keep healthy. That daily grind is what separates the store that compounds from the one that quietly drifts. We run the daily operations — on your store, your platforms, your rules — and hand over a daily note that tells you exactly what moved.

  • Product listings, photos and catalog upkeep, done to standard
  • Orders and shipping managed end to end, with the exceptions flagged
  • Returns processed, resolved and logged — not left to fester
  • Reviews answered, platform health watched, daily handover notes

Catalog Fulfill Resolve

The problem

The store runs on you, in the gaps between client calls.

Someone has to list the products, update the stock, answer the reviews, chase the carriers and untangle the returns — every day, on every platform, in the small hours between everything else. That is a full job, wearing the mask of “a few quick store things,” and it is the first thing that slips when the week gets busy.

The drift is slow: the listing that never went live, the review that never got answered, the return that never got processed, the price that was wrong for a week. None of it feels urgent; all of it adds up to a store that is costing you margin, ratings and time.

Sound familiar?

  • New products are designed but never listed
  • The review section answers “sometimes, when I remember”
  • Returns pile up in a folder that is not being processed
  • You still log in to the store platform every day, just to check

What we actually do

The store operation, in four blocks.

From the catalog to the review section:

01

Catalog & listings

The catalog, always current.

  • New product listings: copy, images, pricing, variations
  • Catalog hygiene: the stale, the duplicated, the missing
  • Seasonal and promotional price management
  • Stock levels kept in sync with the real warehouse
02

Orders & fulfillment

The order, to the door.

  • Order capture, verification and daily batch processing
  • Carrier selection and shipping, with tracking shared
  • Exception handling: addresses, stock, damages — same day
  • Bundles, backorders and the edge cases, documented
03

Returns & complaints

The unglamorous work, done.

  • Returns processed to your policy, fast and consistent
  • Complaints resolved before they become reviews
  • Refunds and replacements, logged and reconciled
  • The return-reason analysis feeding back into listings
04

Reputation & platform health

The score, watched daily.

  • Review monitoring and response on your brand tone
  • Negative review turnaround before it compounds
  • Platform policy and health monitoring (Amazon, Shopify, own store)
  • The weekly numbers: orders, rating trend, returns, revenue by product

The machine

The store day, run and reported.

The daily operations loop, owned by a team that lives in the platforms.

01

Catalog

Listings created and updated to standard: titles, descriptions, images, prices, stock — the catalog always matches the business.

02

Fulfill

Orders captured, verified, packed or dispatched, and tracked — with the exceptions (address, stock, carrier) escalated same day.

03

Resolve

Returns and complaints processed to resolution: the refund, the replacement, the reply — logged and closed, not parked.

04

Reputation

Reviews monitored and answered on your tone; the negative ones turned around while they still matter.

05

Report

The daily handover: what was listed, fulfilled, resolved — and the weekly numbers: orders, sell-through, rating trend, returns.

The daily handover note is the contract: if it moved in the store, it is in the note. What is not in the note did not happen — and that is a good thing to be able to say.

How it works

From “I check the store daily” to a daily handover.

Week 1

Store audit

We walk every platform: the catalog state, the order flow, the returns backlog, the review section and the policy gaps. The backlog list is the first deliverable.

Week 1–2

Process & access

The daily process is written down — listing standards, fulfillment steps, return policy, tone guide — and platform access is set up to least privilege.

Week 2

Backlog burn

The team starts on what is already late: the unprocessed returns, the unanswered reviews, the stale listings. The backlog visibly shrinks.

Week 3

Daily rhythm

The daily loop is live: catalog, orders, returns, reviews, handover note. The parallel checks end and the operation stands on its own.

Ongoing

Compounding

Weekly numbers and monthly catalog reviews; the return-reason analysis feeding product decisions; the rating trend doing the talking.

Scope of engagement

Every deliverable, named upfront.

  • The store audit: catalog, fulfillment, returns and policy state
  • The documented daily operating process and tone guide
  • Catalog and listing management, run to standard
  • Order and shipping management with exception handling
  • Returns and complaint resolution, logged and reconciled
  • Review monitoring and response on your brand voice
  • The daily handover note and the weekly store numbers

FAQ

E-commerce operations, straight answers.

The majors and your own stack: Shopify, Amazon (Seller Central and Vendor Central workflows), WooCommerce, and custom store platforms. If the store runs on a platform with a standard admin, we operate it; if it runs on a custom build, we work in it or in the adjacent tools the operation needs. The platform audit in week one tells us exactly what the operation looks like on your stack.

You do, always. We operate under your accounts with least-privilege access: what we can see, do and change is defined in the access setup, and financial actions (refunds, payouts, pricing changes above a threshold) follow the rules you set. The daily note and the weekly report show the movement, so nothing about the money or the stock happens invisibly.

On your tone, within written boundaries. Shipping notifications, review responses and return communications follow a tone guide built from your existing voice, and anything outside the standard — a dispute, a refund above the threshold, a serious complaint — is escalated to you rather than answered by improvisation. The customer hears your brand, and the exceptions reach you while they still matter.

Priced against the operation: the platforms, the order volume, the catalog size and the service level — as a monthly service. The store audit gives the real shape of the work, so the quote is built on your store, not an average. Most operations are live within two to three weeks, with the backlog burn starting from the first week of the access setup.

How many hours a week does the store currently take from you?

Tell us the platforms, the order volume and the part that takes the most time. We will map the daily operation, the team shape and the handover — and what your week looks like after.
